How to Use the Email Signature Generator?

Create professional email signatures in minutes. This guide will walk you through every feature of the app.

Getting Started

The Email Signature Generator has a simple two-column layout:

  • Left Column:Form where you enter your details (name, email, company info, social links, etc.)

  • Right Column:Templates selector, customization options, and live preview of your signature

As you type in the form, your signature preview updates in real-time!

Filling Your Details

Company Section

  • Logo: Upload an image or provide a URL. PNG/JPG recommended, max 500KB.

  • Company Name: Your organization's name

  • Website URL: Your company's website (will be clickable in signature)

  • Address: Physical address or location

Personal Section

  • Full Name: Your name as you want it displayed

  • Job Title: Your role or position

Contact Section

  • Email: Your professional email address

  • Phone: Contact phone number

  • Calendar Link: Link to your booking page (Cal.com, Calendly, etc.)

Social Links

Add links to your LinkedIn, Twitter/X, GitHub, and Instagram profiles. Icons will appear in your signature for each link you provide.

Banner / CTA Section

  • Banner Text: Promotional message or call-to-action

  • Banner Link: URL where the banner will link to

  • Banner Image: Optional image for your banner

Choosing a Template

We offer 9 professionally designed templates to get you started quickly:

  • Creative: Bold plum color with creative flair

  • Classic: Timeless ocean blue horizontal layout

  • Warm: Friendly terracotta tones

  • Sunny: Bright amber with modern fonts

  • Midnight: Deep blue professional look

  • Editorial: Elegant rose with serif fonts

  • dot2.solutions: Gradient brand signature

Selecting a template automatically applies its color, font, and layout settings. You can further customize these after applying a template.

Customizing Your Signature

Accent Colors

Choose from 12 preset colors or use the custom color picker for complete flexibility:

Font Styles

6 font options available: System (default), Inter (modern), Plus Jakarta Sans (geometric), Playfair Display (elegant serif), Space Mono (quirky monospace), and Instrument Serif (contemporary classic)

Layout Options

  • Vertical: Logo stacked above your information (more compact)

  • Horizontal: Logo positioned beside your information (wider)

Banner Width

When you add a banner image, a width slider appears allowing you to adjust the banner size from 200px to 600px.

Previewing Your Signature

The preview panel shows your signature exactly as it will appear in emails. Features include:

  • Light/Dark Mode Toggle: Preview how your signature looks in different email client themes

  • Copy Button: Copies the HTML signature to your clipboard (requires sign-in)

  • Save Button: Save your current configuration for later (requires sign-in)

Exporting Your Signature

Three ways to export your signature:

Copy Signature

Copies the HTML directly to your clipboard. Paste it into your email client's signature settings. Requires signing in.

Export as PNG

Downloads your signature as an image file. Useful for email clients that don't support HTML signatures.

Export as HTML

Downloads the HTML file. Useful for manual editing or integration into other systems.

Saving Signatures

When signed in, you can save multiple signature configurations:

  • Click the Save button in the preview panel

  • Enter a name for your signature (e.g., "Work Signature", "Personal")

  • Your saved signatures appear in the "Saved Signatures" panel

  • Click any saved signature to load it instantly

  • Delete signatures you no longer need with the trash icon

Importing into Email Clients

Gmail

  1. Open Gmail and click the gear icon → See all settings

  2. Scroll down to the Signature section

  3. Click Create new or select an existing signature

  4. Paste your copied signature (Ctrl/Cmd + V)

  5. Scroll down and click Save Changes

Apple Mail (macOS)

  1. Open Mail and go to Mail → Settings (or Preferences)

  2. Click the Signatures tab

  3. Click the + button to create a new signature

  4. Paste your copied signature

  5. Drag the signature to your email account in the left column

iOS Mail

  1. Go to Settings → Mail → Signature

  2. Tap to edit your signature

  3. Paste your copied signature

Note: iOS Mail has limited HTML support. Some formatting may be simplified.

Outlook

  1. Go to File → Options → Mail → Signatures

  2. Click New and name your signature

  3. Paste your copied signature in the editor

  4. Click OK to save

Yes! The Email Signature Generator is completely free to use. You can create, customize, and export signatures without any cost. Some features like saving signatures require signing in with your dot2.solutions account.

Do I need to sign in to use the app?

No, you can use most features without signing in. However, signing in is required to copy signatures to clipboard and save your signature configurations for later use.

Why do I need to sign in to copy or save signatures?

Signing in helps us provide a better experience by allowing you to save multiple signature configurations and access them from any device. It also helps prevent abuse of the service.

What image formats are supported for logos and banners?

We support PNG, JPG/JPEG, GIF, and WebP formats. For best results, we recommend using PNG or JPG files with transparent backgrounds for logos.

What's the recommended image size?

Images should be under 500KB for optimal email compatibility. Larger images may not display correctly in some email clients or could be blocked entirely. Square logos work best.

Will my signature work in all email clients?

Our signatures are designed to be compatible with major email clients including Gmail, Apple Mail, Outlook, and more. However, some email clients may render HTML differently. We recommend testing your signature in your preferred email client.

Can I use a custom color for my signature?

Yes! In addition to the 12 preset colors, you can use the custom color picker to choose any color you like. Simply click the rainbow-bordered swatch and select your desired color.

How do I change the language?

Click the language selector in the top-right corner of the page. We support 14 languages including English, French, German, Spanish, Portuguese, Italian, Arabic, Chinese, Japanese, Korean, Russian, Dutch, and Turkish.

Is my data saved anywhere?

Your signature data is only saved if you explicitly choose to save it while signed in. Otherwise, your information is only stored temporarily in your browser and is not sent to any server.

Can I use emojis in my signature?

Yes! Emojis work great in the banner text field and can help make your signature more engaging. Just type or paste emojis directly into the text fields.

What's the difference between vertical and horizontal layout?

Vertical layout stacks the logo above your contact information, while horizontal layout places them side by side. Horizontal works better for wider email clients, while vertical is more compact.

How do I add a promotional banner?

Scroll down to the 'Banner / CTA' section in the form. You can add promotional text, a link URL, and optionally an image. The banner width can be adjusted using the slider in the Customize panel.
